Privacy notice

This notice covers arkn.co. ARKN is registered in the Netherlands, KVK 74246836, Ericssonstraat 2, 5121 ML. For anything in this document, including a request to see or delete your data, email nour@arkn.co. We answer inside one business day.

What we collect, and when

If you open the booking panel. Your answers to the 5 questions, which cover your sector, where work gets stuck, roughly how many hours it costs, and what it runs on. Answers are saved as you give them, so an abandoned form is also stored.

Alongside those answers we store technical context: the page you arrived on, the site that referred you, campaign tags in the link you followed, whether you are on a phone or a desktop, and a random session identifier that ties your answers together. That identifier is not linked to you as a person unless you go on to book.

If you book a call. Cal.com collects your name, email address and chosen slot in order to make the booking and send the invite.

If you email or call us. Whatever you choose to tell us, kept in our inbox and phone in the ordinary way.

We do not ask for your name or email in the questionnaire itself, and we do not buy or enrich data about you from third parties.

Why we are allowed to hold it

To answer your enquiry and prepare the call you asked for, which is a pre-contractual step you requested (GDPR article 6(1)(b)). To understand which of our own marketing works, which is our legitimate interest (article 6(1)(f)) and is limited to aggregate counts. The optional analytics cookie runs only if you say yes (article 6(1)(a)), and you can change that answer at any time from the control in the bottom-left corner of any page.

Who else processes it

• Supabase hosts the database. Our project runs in the EU, in Frankfurt.
• Cal.com handles scheduling, and processes your name, email and chosen slot.
• Vercel hosts and serves the site.

Each is a processor acting on our instructions. Some are US companies and may process data outside the EU under the standard contractual clauses. We will name any new processor here before it starts handling anything.

How long we keep it

Enquiry records are kept for 24 months from your last contact with us, then deleted. Records belonging to clients are kept for as long as the engagement runs and for 7 years afterwards, because Dutch tax law requires it for anything tied to an invoice. Email is kept until it stops being useful.

What you can ask for

You can ask to see what we hold, correct it, delete it, restrict what we do with it, receive a copy in a portable format, or object to us holding it at all. Email nour@arkn.co and we will action it within one month, usually the same week. There is no charge.

If you think we have handled your data badly, tell us first and we will try to fix it. You also have the right to complain to the Dutch data protection authority, the Autoriteit Persoonsgegevens.

Client data inside a build

This notice is about arkn.co. When we build automations for a client, that client decides what happens to their customers’ data and we act only on their instructions, under a separate data processing agreement. We do not copy that data out of the systems the build sheet names, and we do not use it for anything of our own.

Security

The site is served over HTTPS. Form answers are written to a database that only accepts writes tied to your own session identifier, so one visitor cannot read another’s answers. Access to client systems is through credentials the client issues and can revoke at any time.

Changes

If this notice changes materially we will update the date at the top and, where it affects data we already hold, tell the people concerned directly.
